This Privacy Policy explains how LangShan Consulting LLC d/b/a VolunteerUP ("VolunteerUP," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit our websites, use the VolunteerUP application, communicate with us, request a demo, sign up as a customer, sign in as a user, or otherwise interact with our services.
This Privacy Policy applies to information we collect directly through our own websites and services. It does not apply to third-party websites, services, or payment processors that we do not control, even if they are linked from our sites or integrated with our service.
1. Categories of Information We Collect
We may collect the following categories of information, depending on how you interact with VolunteerUP:
(a) Contact and account information, such as names, organization names, email addresses, phone numbers, mailing addresses, usernames, and administrator profile details.
(b) Volunteer management or program data that our customer organizations choose to submit, such as participant names, contact information, emergency contact information, shift signups, attendance, volunteer hours, notes, and similar operational records.
(c) Communications, such as support requests, emails, messages, feedback, or other correspondence sent to VolunteerUP.
(d) Device, log, and usage information, such as IP address, browser type, operating system, timestamps, pages or screens viewed, referring URLs, and similar technical data used for security, troubleshooting, and service performance.
(e) Billing and transaction information, such as invoice records, payment status, and limited donation or payment confirmation details. Payment card data is typically processed by third-party payment processors and is not stored by VolunteerUP except for limited transaction metadata or confirmations.
(f) Cookie and similar-technology data used for sign-in, session continuity, user preferences, security, and limited service analytics or performance measurement.
2. How We Use Information
We use personal information to:
(a) provide, operate, host, maintain, support, secure, and improve VolunteerUP;
(b) authenticate users, manage accounts, protect against fraud or abuse, and maintain the integrity of the service;
(c) communicate with customers and users regarding support, administrative notices, security matters, updates, renewals, and business operations;
(d) process invoicing, payments, donations, and related business administration;
(e) comply with law, enforce agreements, and protect our rights, users, customers, and the public;
(f) generate aggregated, statistical, or de-identified information that does not reasonably identify an individual.
3. When We Act on Behalf of Our Customers
When a nonprofit, school, church, or other customer organization uses VolunteerUP to manage volunteers, participants, donors, or staff, that organization generally decides what data is collected, how it is used, who has access to it, and how long it is retained. In that context, VolunteerUP generally acts as a service provider, processor, or contractor on the organization's behalf.
If you are a volunteer, participant, or other end user whose information is stored in an organization's VolunteerUP account, please contact that organization first regarding your information. We may assist our customer in responding as required by law or contract.
4. How We Share Information
We may disclose personal information:
(a) to service providers, vendors, or subprocessors that help us host, secure, support, back up, email, or otherwise operate the service;
(b) to payment processors or related financial service providers for billing or donation transactions;
(c) to professional advisors, insurers, auditors, or potential acquirers under appropriate confidentiality protections;
(d) when required by law, legal process, court order, or lawful governmental request; and
(e) when reasonably necessary to protect rights, investigate misuse, respond to security incidents, or protect users or the service.
We do not sell personal data. We do not share personal data for cross-context behavioral advertising. We do not serve ads on our sites or in the VolunteerUP application.
5. Cookies and Similar Technologies
VolunteerUP uses cookies and similar technologies primarily for essential functions such as sign-in, session management, remembering settings, security, fraud prevention, and limited site or application performance measurement.
VolunteerUP does not use third-party advertising cookies and does not permit third-party ad networks to track users on our sites for targeted advertising.
Most browsers allow you to manage cookies through browser settings. Disabling certain cookies may affect sign-in or other service functionality.
6. Data Retention
We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the service, maintain appropriate business and financial records, comply with law, resolve disputes, enforce agreements, and support security and backup operations.
For information stored in a customer account, retention is generally tied to the customer relationship and the customer's instructions, subject to our contractual, legal, and backup-retention obligations.

VolunteerUP uses administrative, technical, and organizational measures designed to protect personal information against unauthorized access, use, alteration, and disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We encourage customers and users to use strong passwords, protect administrator access, and notify us promptly about suspected unauthorized access.
8. Your Choices and Rights
Depending on the law that applies and the context in which information is collected, individuals may have rights to request access, correction, deletion, or copies of personal information, or to object to or limit certain processing.
If the information is stored in a VolunteerUP customer account, we may direct the request to the relevant customer because that organization controls the account data.
For information that VolunteerUP controls directly, you may submit requests using the contact information below. We will respond in accordance with applicable law.
9. Children's Privacy
VolunteerUP is not directed to children under 13 on its own behalf. To the extent customer organizations use VolunteerUP to manage youth programs or youth volunteers, those organizations are responsible for determining what notices or consents are required for the information they collect and submit to the service.
10. International Users
VolunteerUP is based in the United States. If you access our services from outside the United States, you understand that your information may be processed in the United States or other locations where our service providers operate, subject to applicable law and our contractual commitments.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version with a revised effective date. If we make material changes, we may provide additional notice through the service, by email, or by other appropriate means.
